Email Marketing for Artists and Organizations

How to Share Your Story, Grow Your Audience, and Make the Most of Email Marketing

Thank you for your interest in our eBlast service. The Cultural Alliance of Fairfield County (CAFC) is committed to helping artists, organizations, and creative businesses share their work in ways that truly connect with audiences. In July 2026, our newsletter reaches 3200 people with open and click rates consistently at or above the industry standards for our sector.

Email marketing is one of the most effective, affordable, and sustainable tools you have as an artist or arts organization. It allows you to:

  • Build relationships with your audience over time.
  • Maintain ownership of your message and how it’s shared.
  • Stay in control of your story, your timing, and your promotions.

Our eBlast service is designed to extend your reach into our wide network of subscribers across Fairfield County and beyond. But to ensure your message has the strongest impact, we need content in a format that is consistent, professional, and accessible. Below you’ll find a step-by-step guide for preparing and submitting your eBlast request  with explanations of why each piece is required.

Scheduling and Frequency

Request at least 2 weeks before your desired send date.

This lead time ensures your eBlast does not conflict with CAFC’s newsletter schedule and gives our team time to edit, design, and schedule strategically. Good marketing is as much about timing as it is about content.

In today’s crowded digital landscape, when and how often you communicate is just as important as what you share. Finding the right rhythm keeps your audience connected without overwhelming them. While our dedicated eBlast service is designed to provide focused visibility, strategic frequency can amplify your reach and deepen your connection with audiences:

  • Keep it simple: eBlasts don’t have to be elaborate, brief updates, sneak peeks into your creative process, a behind-the-scenes note, or a meaningful quote can all spark connections.
  • Build consistency: Establish a regular rhythm of communication that feels authentic to your work and audience, balancing frequency with quality.
  • Avoid fatigue: Be mindful not to overwhelm subscribers. Short, purposeful messages spaced thoughtfully  tend to perform best.

This approach not only enhances visibility but also fosters deeper engagement and stronger audience loyalty over time.

Core Event Information

Every successful announcement starts with the basics: Who, What, Where, and When. These are the anchors that help your audience immediately understand your event and decide whether to engage.

  • Title of Event/Announcement – Clear, concise, and compelling. This is what will grab readers. We will be use this for the email subject lines, aim for 30 to 50 characters or 4 to 7 words.
  • Who – Who is hosting, presenting, or featured? This builds trust and credibility.
  • What – Describe what the audience can expect (performance, exhibition, talk, etc.). Keep the description under 200 words.
  • Where – Be specific about location, venue, and accessibility.
  • When – Date, start/end time, and whether it’s in-person, virtual, or hybrid.

Consistency in “Who/What/Where/When” allows readers to find essential details immediately. Studies show audiences are far more likely to click through and act when the basics are upfront and easy to digest.

Marketing Tools

Email marketing  trends today emphasize moving beyond static newsletters toward interactive, story-driven emails that invite participation and conversation. Thoughtful frequency, personalization, and accessibility help artists stay present. When used well, email becomes a living studio extension: a space to share process, announce opportunities, test ideas, and guide collectors through long buying cycles with clarity and care.

Interactivity

Polls, quizzes, clickable content, and simple calls for replies turn emails into two-way conversations that deepen engagement and insight.

High-Quality Visuals

Strong, well-lit images of artwork or process are essential for capturing attention quickly and communicating professionalism and care.

Clear Call to Action

A focused action such as visit the website or learn more allows readers know how to engage. Offering valuable content such as exclusive previews, or collector tips gives people a compelling reason to stay engaged.

Images

A powerful image can make or break your eBlast. In today’s fast-paced digital environment, visuals are often the first and sometimes the only thing your audience notices. That’s why we require a single, landscape image (589 x 331 pixels) without any text overlay, accompanied by a short alt text description (example: “Two dancers in red costumes mid-performance on stage”). This:

  • Ensures responsiveness. A properly sized image adapts seamlessly across devices; desktop, tablet, and mobile, so your eBlast looks polished everywhere it’s opened. This adaptability, known as responsive design, is essential in marketing: it ensures your content is accessible and legible regardless of screen size.
  • Supports accessibility. Alt text isn’t just a requirement, it’s a way to invite visually impaired readers into the experience. By describing what’s shown in your image, you expand access to your art and align with ADA standards, reinforcing CAFC’s commitment to equity.
  • High-quality visuals build trust. Crisp, professional images signal to audiences that your event is worth their time and investment. Blurry or low-quality photos can unintentionally undermine credibility.
  • Photographs outperform graphics. While digital graphics or flyers may feel convenient, research in arts marketing shows that real images; photos of people, artwork, performances, or behind-the-scenes moments, generate significantly higher engagement. They allow audiences to connect emotionally with your work and imagine themselves being part of the experience.

Visual storytelling. For visual artists in particular, strong images are an extension of your brand. Share striking photos of your work, candid process shots from the studio, or engaging behind-the-scenes glimpses. These images don’t just illustrate your announcement; they tell a story that words alone cannot.

Links & Calls to Action

Every eBlast should guide your audience toward a clear next step. Whether you want them to buy tickets, register for a workshop, or learn more about your work, that step needs to be obvious, simple, and compelling.

We recommend including up to two hyperlinks, each framed as a button with action-oriented text. Examples:

Why This Matters

  • Clarity drives action. Most readers skim emails in seconds. A well-placed button tells them exactly what you want them to do, no guessing, no searching.
  • Visual hierarchy increases engagement. Buttons are designed to stand out. Studies show they generate 45–60% more clicks than text links alone. For artists, this can be the difference between a handful of ticket sales and a sold-out performance.
  • Less is more. Limiting to two calls-to-action reduces “decision fatigue.” Too many choices cause audiences to disengage altogether. By offering just one or two next steps, you keep the focus sharp and the pathway clear.
  • Builds audience habits. When your emails consistently provide a clear action; whether it’s registering, buying, or reading more, your audience learns to expect and respond to your messages. This builds long-term trust and reliability around your communications.
  • Transforms interest into support. Great storytelling sparks curiosity, but a clear call-to-action turns that curiosity into tangible engagement: attendance, donations, sign-ups, or sales.

In short: buttons are the bridge between your art and your audience’s action. By using them strategically, you ensure your eBlast isn’t just read, it inspires your community to connect, participate, and support your work.

Review & Approval

Once we design your eBlast, we’ll send it back to you for approval. Nothing is sent without your confirmation. Collaboration ensures your message is both polished and true to your voice.

Cost & Payment

Each eBlast costs $50 per one-page send.

An invoice will be issued once your draft design is approved. This fee offsets staff time for design, scheduling, and list management, ensuring your content gets the professional polish and reach it deserves.

Beginning in September, the cost of member eblasts will increase to $60. If you know you’ll have programming or announcements coming up later this year, now is the perfect time to reserve your eblast and lock in the current member rate.
